Dimension IV Madison Design Group is seeking a highly organized and proactive full-time Construction/Support Specialist to join our architectural team. This full-time position plays a key role in supporting project execution from design development through construction administration. You’ll collaborate closely with project managers, architects, consultants, and clients to ensure smooth operations and accurate documentation. Approximately 70% of this role is billable, supporting both client-facing and internal project work.
Responsibilities
Project Coordination (75%)
- Coordinate with internal teams on resource planning and tracking project schedules, milestones, and deliverables across all phases.
- Coordinate consultant communications and manage document exchanges via platforms such as Newforma, Procore, or similar.
- Prepare, issue, and manage client and subconsultant contracts, change orders, and amendments, including document distribution and execution tracking.
- Support internal teams in maintaining and organizing project documentation, including meeting notes, RFIs, submittals, drawing logs, construction bulletins, and plan/spec updates.
- Serve as a liaison for administrative aspects of client and consultant coordination.
- Track and review certificates of insurance and other required documentation from subcontractors.
- Support project bidding processes, including posting updates and monitoring submissions.
- Support project closeout activities, including punch lists, O&M manuals, and warranty documentation.
- Maintain and improve project management templates and workflows.
Office & Operational Support
- Organize and archive project documents and drawings.
- Procure office supplies and coordinate vendor sessions (e.g., lunch & learns).
- Assist with corporate license renewals and compliance documentation.
- Perform other duties as needed.
Qualifications
- Bachelor’s degree in Architecture, Construction Management, or equivalent AEC industry experience.
- Minimum 5 years in a construction/support role, preferably within an architecture, engineering, or construction firm.
- Proficiency in Microsoft Office Suite and Adobe Acrobat.
- Experience with project management tools such as Deltek Ajera, Newforma, Procore, or Bluebeam.
- Strong written and verbal communication skills.
- Excellent organizational skills and attention to detail.
- Ability to manage competing priorities and work independently and collaboratively.
Preferred Skills
- Familiarity with AIA contract documents and construction administration workflows.
- Understanding of architectural project phases (SD, DD, CD, CA).
- Skilled in coordinating staff assignments and tasks across project teams.
- Skilled in maintaining organized digital and physical project files.
- Exposure to compliance-related tasks such as license renewals and corporate filings.
- Proven ability to manage multiple projects in deadline-driven environments.
